Searches for your documents and content can be performed directly from the EDDS Vault navigation bar or the Search tab. You can search within a specific folder, a file cabinet, or your entire workspace.
The Search tab will allow you to perform advanced searches on index values or tags you associated with your documents to further refine your ability to locate a file.
INDEX VALUES are descriptive values for a document. The fields for index values are set up at the file cabinet level. They can be made required so that users must enter index values whenever documents are added to that cabinet. While using index values is optional, the type of control it provides can help you better organize important data so that you can pinpoint what you want in searches more easily.
TAGS are key words you can associate with your documents to categorize them so they are easier to find. They are entered on a document-by-document basis. Tags are easy to enter quickly and generally are used to broadly categorize data. EDDS Vault keeps track of the number of times you use each tag. The application then creates a visual display called a "tag cloud," which displays the tags used more often in larger font and the tags used less often in smaller font. The tag cloud gives you a quick visual overview of the types of content you have stored in your workspace.
On the Search tab, you can enter one or more index values to locate documents with that value or values. Or, you can click on a tag in the tag cloud to display documents that match that tag.
For example, you may have scanned and indexed ten rental agreements with values like Lessor Name, Agreement Date, and Contract Amount and created a tag called Server Leases for three of the documents. When you perform a search, you can then use either index values or tags, depending on what you are looking for. In this example, if you wanted to find the rental agreements for John Smith, you might search for documents where "John Smith" is the value of the Lessor Name. Or, if you wanted to find the server leases, you might click the Server Leases tag.
Another option is to search for text you know is in a document you want to find. Our full-text indexing process will allow you to perform keyword searches on many common file formats.
The Search tab also enables you to filter your results by another search value, by document type (Microsoft Word, Microsoft Excel, Microsoft PowerPoint, etc.) or by file cabinet.
